RP - Generating Renewal Letters in Bulk

  1. Start by selecting the menu icon at the top of the screen. Select “other”, and then select “Letters and Notices”.

 

 

Enter the lease expiration dates you want to generate letters for and click “Find”. This will build a list of all residents whose leases expire during the dates you entered. Click on “select all” and review the list to make sure there is no resident selected that you should not be giving a lease renewal offer letter to.

 

 

 

 

  1. In the list of letters, find the “Renewal Offer” letter and click on “generate”. Then click on “generate” again.

 

 

  1. To review your letters for accuracy and to print the letters, find the “Renewal Offer” letter in the drop-down box next to “recent group for download”. Then, select “generate PDF”, and then “print PDF”.

 

 

Now, review your letters for accuracy and print them at this time. You may also save a copy of the letters to your computer if you wish.

Once reviewed for accuracy, you may now go back and generate the letters again, selecting the option to email the renewal offers to the residents if you wish to email the letter to them as well.

 

The renewal letters have now been generated and a record has been kept under the “letters and notices” and “activity” tabs in the Resident’s Summary page as well.
