RP - Generate and Sign a Renewal

  1. In the resident’s summary page, select Renewals>Renew/Go MTM.

A window will appear showing all the offers that have been generated for the resident in Onesite. Select the offer that the resident has chosen.

If the resident has already chosen the offer that they want online via the portal, their lease term selection will already be chosen. Also verify the late fee method is correct on the screen.

 

  1. Click on “confirm valid renter’s insurance” and “confirm utility billing”. Make sure that the resident’s current renter’s insurance information is listed and verify the number of occupants in the unit. DO NOT proceed with the renewal if renter’s insurance has not been provided.

 

 

  1. Once you have verified renter’s insurance, number of occupants, and late fee method are correct, click on the AMBO Renewal packet. This renewal packet is automatically generated by Onesite once the lease renewal term has been chosen.

 

A window will appear showing the contents of the renewal packet.

  1. Generate the lease by clicking on the “Generate Forms” button.

 

 

Scroll through the list of forms and make sure all required documents for your property have been selected and then click “Generate”.

 

A window will appear labeled “user defined merge fields”. You should not have to enter anything here, so just select “save”.

 

Once you have generated the lease, you will notice that the notes on the right hand side of each document will update.

Click on the “refresh content” button until the notes no longer say “Data sent to Blue Moon” next to any document. All notes must either say “Data Received” or “Form has been generated”. You may have to click the “refresh contents” button more than once.

 

  1. Now that you have generated the lease forms, you must review them before sending them to be signed. Click on the “Print/View Packet” button.

 

 

Review the lease to make sure that it has generated correctly.

  1. Once you have verified that the lease is correct and ready for signature, click the “Sign Documents” button.

 

A window will appear. For e-signatures, select “household signatures”, and then select “sign”.

 

 

A window will appear with the resident’s name. If there is more than one resident, they will all be listed here. Verify the email address and then click “Send email”.

 

This will send a link to the resident to electronically sign their lease documents. Click “Ok”.

 

 

 

  1. Monitor the status of the document signatures so that you will know it is time for you to countersign. On the today page, you can monitor the document status in the “Documents awaiting signature” widget.

Monitor the notes. Once the resident has signed, the notes will update to say “Signatures have been received”.

 

Once the resident has signed, you may now countersign the lease. Go back to the resident’s summary page and click on Renewals>Renew/Go MTM, and click on the renewal packet.

 

Click on “Sign documents” again.

 

 

Click on “sign now” next to your name.

 

 

Select “Accept and Continue”

 

 

Click on “Countersign All”.

Click “Finish”.

 

  1. Now, refresh the contents of the packet by selecting “refresh contents” until the notes update to show that you have signed the lease and all red X’s turn into green checkmarks.

 

Once it has updated and your packet status shows “complete”, select “close packet”. DO NOT close the packet if the packet status is not completed. Click close on the bottom right-hand corner of the screen.

 

  1. Enter in the lese signed date, the name of the person who completed the renewal, and select “Next” to complete the renewal process. If all steps above are not complete, you will not be able to proceed with the renewal process and finalize the renewal.
