Reviewing the History of a Report, Extract, or Task File

Because the system saves a physical copy of your recently run standard reports, extracts, or tasks, multiple people can access the report, extract, or task files online or download them to their personal computers or network. As each person accesses a previously run report, extract, or task, the system maintains an audit log of each action taken. You can review the history of any previously run report, extract, or task file (for as long as it is archived) to identify who has viewed or downloaded the report, extract, or task file.

  1. From the ReportsSDE, or Tasks tab, locate the report, extract, or task whose history you want to review.
  2. Click the More link, and then select the View completed option.
  3. If there is more than one version of the report, extract, or task file available, locate the specific version you want to review. Change the dates and click Find to display more reports, extracts, or tasks. Click the column headings to sort the list by different values.
    • Review the date and format of the report, extract, or task as shown on the list.
    • Use the View link to open the report, extract, or task.
    • To view the parameters used to run the report, extract, or task, click More and then Parameters.
  4. When you have located the version of the report, extract, or task whose history you want to review, click More and then History.

    The system opens the History window for the selected version of the report, extract, or task. This window lists each action taken by the system or any RealPage users related to the report, extract, or task, beginning with the creation of the report, extract, or task. The system logs an entry each time a user views the report, extract, or task online or downloads the report, extract, or task. If any errors occurred during processing, those history entries are flagged with a pair of eye-glasses ().

  5. Click Close to return to the Completed list.
