Viewing All Completed Reports, Extracts, or Tasks

The View completed option opens the Completed list for the selected report, extract, or task. Here you can see a list of all available versions of the report, extract, or task run during a specified period. When you run standard RealPage reports, SDE extracts, or tasks, completed jobs are saved in the system for you. This lets you submit reports, extracts, and tasks for later submission and then review those reports, extracts, or tasks at your convenience. This also lets you review reports, extracts, or tasks that were run recently (by yourself or other property staff) without having to run the report, extract, or task again.

As a general rule, historical reports, extracts, and tasks are purged from the system based on the following rules, though specific items can be purged on a different schedule.

  • Reports: The system saves up to 10 versions of a report or saves reports for up to 60 days, whichever comes first. For example, if you run a report 15 times in a 60-day period, only the last 10 versions of the report are saved. If you run the report twice a month (six times in a 90-day period), the system saves the four reports run during the last 60 days.
  • SDE extracts: OneSite saves all extract files for a six-month period.
  • Tasks: OneSite saves all versions of a task run during the last 180 days (approximately six months).

The list shows the date and time when the report, extract, or task was created and when it was completed (which will be different for scheduled jobs or jobs submitted to run later). The list shows the user ID of the person (or group) who ran the report, extract, or task, and the format of the report, extract, or task file. You can also use the list to identify whether it was run by a user or as part of a scheduled group.

The list also shows the report, extract, or task status: CMP if it completed normally or Err if an error occurred. If an error occurred, view the history of the report, extract, or task for more information. Finally, the File ID identifies the unique report, extract, or task file that was created. This ID is helpful when troubleshooting issues or when saving the file to your local personal computer or network.

From this list, you can also save a particular version of a report, extract, or task to your personal computer or network, file a report in your Property cabinet (if you are also using Document Management), view the parameters used to run the report, extract, or task, or review the history of the report, extract, or task.

  1. To view the list of completed reports, extracts, or tasks, locate the report, extract, or task you want to work with on the ReportsSDE, or Tasks tab.
  2. Click the More link for the report, extract, or task you want to review and select the View completed option. The system opens the Completed list, which shows all versions of the report, extract, or task run in the last seven days for this property.
  3. Locate the version of the report, extract, or task you want to work with. If necessary, change the dates at the top of the page and click Find to list reports, extracts, or tasks run before the last seven days.
  4. To view the report, extract, or task file online, click the View link. If the file was created in Word or XML format, the system asks if you want to open the file from the system or save it to your personal computer or network.
  5. To review the file online, choose Open this file from its current location. The system opens the selected version of the report, extract, or task file.
  6. Click the Print button to print the report, extract, or task or the Close button to return to the Completed list.
