Customize Today Page

The system allows you to create multiple views of the Today page and to assign a specific view to one or more RealPage roles. Custom Today pages can be saved and tied to a particular user role. This means that you can create a custom page and assign that page to any user role in use at the property. For example, the page can be set to display the Leasing summary and the Appointments snapshots when a leasing consultant signs on to the system. Or, when a property maintenance manager signs on to the system, the page can display the Vacant not ready snapshot.

There are multiple snapshots available, each one providing you with information to help manage the property. Any number of these snapshots can be set to appear on the page. Since the Today page is usually the first page people see when they sign on to the system, add the items that will make managing residents, applicants, prospects, and tenants easier and enhance productivity.

Only authorized users can create customized views and assign those views to a RealPage role. This ability is controlled by the "Customize" right. Superusers, Regional Property Managers, Property Managers, Assistant Property Managers, and Bookkeepers always have this right, but you can assign this right to other users by creating a customized role.

 

Creating a Custom View

If you are authorized to create a custom Today page view, two links appear on the right of the Today page, just below the shortcut bar: Customize and Save to Role. Use these two links to create customized Today page views and assign them to your company's system users. If you do not see these links, you are not authorized to perform these tasks.

  1. Click the Customize option at the top of the Today page to open the Customize Today page. It has a mock-up screen that represents what will be seen on the Today page. The Available Items in the Custom group are listed in the column to the left. Notice the rectangular area that shows your computer's Current Work Area followed by your monitor's resolution (1268 x 858 on the example below). This area represents the actual viewing area of your monitor. If you want to include a number of snapshots, you may need to place one or two outside the current work area. In that case, you'll need to use a scroll bar to see all the snapshots after you save the Today page.
  2. Click the drop-down arrow and select the category of snapshots you want to add to this view of the Today page. The categories of snapshots that are available to you vary depending on the RealPage product centers you are using. When you select a category, the system lists the individual snapshot in that category that you can add to the Today page. For example, select Prospects (see the example below) to see the snapshots that are used to manage prospect activity.
    • Affordable: This group of snapshots is available to companies using OneSite Leasing & Rents—Affordable (HUD, Tax Credits, and Rural Housing).
    • Alerts: This snapshot is available for all RealPage users. The Alerts snapshot gathers key information from multiple properties and multiple product centers and is designed to alert you when actions need to be taken.
    • Custom: These snapshots are available for all RealPage users.
    • Facilities: These snapshots are available for all companies using OneSite Facilities.
    • Prospects: These snapshots are available for all companies using OneSite Leasing & Rents (all versions), Resident Portal Contact Center, or Resident Portal Online Leasing.
    • Purchasing: These snapshots are available for all companies using OneSite Purchasing.
    • Residents: These snapshots are available for all companies using OneSite Leasing & Rents (all versions).
    • Screening: These snapshots are available for all companies using Screening (or another integrated screening product).
  3. Select the name of the snapshot you want to appear on the Today page (for example, choose Availability Summary) and drag it onto the mock-up screen. If you drag a snapshot onto the screen by mistake, drag it back to the list to remove it. Place the snapshot on the mock-up screen where you want it to appear on the Today page.
  4. Select each snapshot from the selected category that you want to use and place it on the mock-up screen.
  5. When you move your cursor over the snapshot object, the standard cursor becomes a four-direction arrow. When this arrow appears, you can move the snapshot until it's in the position you want. Arrange the objects in the way that is most logical for your work.

  6. Repeat this process for each category until you have selected and arranged all snapshots that you want to be part of this customized Today page view.
  7. When the mock-up view is correct, click the Save button. The mock-up screen disappears and you are returned to the Today page. The snapshot items you just added are in place where you positioned them on the mock-up screen. If you placed any items outside the Current work area, use the scroll bars to the right or at the bottom of the screen to see them. If anything is not placed correctly, click the Customize link again to reopen the mock-up page and move the objects where you want them to be.

Working with the Custom Page Snapshot

Use the Custom page snapshot to add a mini web browser window on your Today page. It can be set to open to any web page of your choice. For example, you may want your leasing consultants to see the property's web site, or you might want your maintenance manager to have the parts ordering page of a favorite supplier displayed. You can change the default page any time using the Customize link.

Setting Up a Custom Page

  1. Click the Customize link.
  2. Click Custom page and drag the snapshot name into the "Current work area" mock-up. Position it where you want it to appear.
  3. Once the snapshot is in place in the work area mock-up, it can be re-sized. Move your mouse to any of the edges and the cursor becomes an arrow as seen in the figure below. When the arrow appears, drag the mouse to change the size of the Custom page snapshot. (You can make it smaller or larger.)

Adding the URL

  1. Click the Pencil button in the upper-right corner of the Custom page snapshot.
  2. The Edit properties box opens. The listed Internet URL is the default URL set for your regular Internet browser. Change it to the URL you want the Custom page to display whenever the Today page opens.
  3. Click Save when the Custom page is in place and the correct web page URL has been entered.

Changing the Default Web Page

  1. Click the Customize link to see the mock-up of the Today page.
  2. Click the Pencil button in the upper-right corner of the Custom page snapshot mock-up.
  3. The Edit properties box opens. The listed Internet URL is the URL added when the Custom page was originally set up. Change it to the URL you want the Custom page to open to whenever the Today page opens.
  4. Click Save when the correct web page URL has been entered.

 

Working with the Custom Auth Page Snapshot

A special function mini web browser window can be included on your Today page. It can be set to open to a company secure web page. As the Today page opens, the system verifies that the user has access to the secure web page. Like all snapshots, the location of this snapshot on the Today page can be changed. The Custom auth page can also be re-sized. This snapshot is available to users of any RealPage product center.

  1. Click the Customize link.
  2. Click Custom auth page and drag the snapshot name into the "Current work area" mock-up. Position it where you want it to appear.
  3. Once the snapshot is in place in the work area mock-up, it can be re-sized. Move your mouse to any of the edges and the cursor becomes an arrow as seen in the figure below. When the arrow appears, drag the mouse to change the size of the Custom auth page snapshot. (You can make it smaller or larger.)

Switching Today Page Views

Each company can create more than one view of the Today page, providing just those snapshots that are important for users with different RealPage roles. For example, the Today page for a Leasing Consultant will typically show different snapshots than the Today page for a Regional Property Manager. If you have more than one RealPage role assigned to you, you can have more than one view of the Today page available to you. You can easily switch between Today page views to find the information you are looking for.

  1. Below the shortcut bar on the right side of the page, the system displays the RealPage role whose view you are currently working with. Click the role link.
  2. The system displays a list of all of the roles you are currently assigned. The Today page views assigned to these roles may be different or the same. Select the role whose Today page view you want to work with. The system redisplays the Today page as customized for the selected role.
