RP - Manually Add, Edit, Delete Scheduled Billing

You can manage Scheduled Billing manually in three different ways

  • Add Scheduled Billing
  • Edit Scheduled Billing
  • Delete Scheduled Billing

 

Add Scheduled Billing

1. Go to Navigation Menu () > Residents

2. Locate the household and click View next to their name.
3. Under Scheduled Billing, click New-current




4. Enter the following information:

  • Transaction Code: Type the code or click the magnifying glass (to search for a code
  • Description: This defaults to the transaction code description.  You can customize how it appears for this tenant
  • Amount: Enter the amount for the transaction
  • Start Date: Enter the first day the transaction will show under Scheduled Billing. The earliest date you can choose is the current property date.
  • End Date: If this transaction billing should end at a specific time, enter an end date. Otherwise, leave as 12/31/2099
  • Bill the first day of next month: If this transaction is being added after the first of the month but you would like for it to start billing the following month, check this box

 

 

If the Start date of this fee is after the first of the month and Bill the first day of next month is not checked, OneSite will trigger a mid month scheduled billing to be posted to put the charge on the resident's ledger. This is normal behavior if you would like to start the fee immediately.    

 

  • Frequency: Select how often this transaction should post to the resident's ledger
  • Do not prorate: Check this box if this transaction should not be prorated at move-in or move-out

5. Click Save

The transactions will show in the Scheduled billing section.

 

 

Edit Scheduled Billing 

1. Go to Navigation Menu () > Residents

2. Locate the household and click View next to their name.

3. Under Scheduled Billing, next to the transaction to update click Edit (if this is a future billing item, change the view from Current to Future)

 

 

 

4. For Affordable/Tax Credit property, you will receive a warning regarding certification. Click No

5. Update the following details

  • Transaction Code: Type the code or click the magnifying glass (to search for a code
  • Description: This defaults to the transaction code description.  You can customize how it appears for this tenant
  • Amount: Enter the amount for the transaction
  • Start Date: Update the Start Date to the current Property Date or a future date later than the current Property Date
  • End Date: If this transaction billing should end at a specific time, enter an end date. Otherwise, leave it as 12/31/2099
  • Do not prorate: Check this box if this transaction should not be prorated at move-in or move-out

6. Click Save

 

Delete Scheduled Billing

1. Go to the Navigation Menu () > Residents
2. Locate the household and click View next to their name.
3. Under the Scheduled Billing section, locate the billing item you would like to remove
4. If this is a future item, click the change the view from Current to Future
5.  Next to the transaction, click  Delete > Delete



The item will then be removed from the resident's scheduled billing. 

 

Create a ticket if you have questions when adding, editing, and deleting any charges to the scheduled billing.
