Today Page Snapshots

 Today

This is a summary of each of the available Today page snapshot options:

  • The Alerts & Approvals Snapshot: This snapshot allows you to manage activities that require immediate attention from a central location. The snapshot combines items from multiple RealPage product centers, allowing you to see all high-priority items in one place. These include:
    • OneSite Purchasing purchase orders and invoices that are currently assigned to you for approval. From here, you can approve, forward, reject, or void one or many POs or invoices. At the property level, the snapshot lists only items assigned to you at that property.

      At RealPage Central, the snapshot lists all items assigned to you from any property to which you are authorized, allowing home office approvers to manage these tasks from one central location. This eliminates the need to navigate to each individual property to view all purchase orders and invoices awaiting approval. This saves time and provides a high-level view of expenditures at their properties.

    • OneSite Facilities resident charges that are currently assigned to you for approval. From here, you can approve, reject, or waive resident charges. At the property level, the snapshot lists only items assigned at that property. At RealPage Central, the snapshot lists all items that are assigned to you from any property for which you are authorized.
    • Returned checks and declined credit card payments that have been imported into OneSite Leasing & Rents from Payments. Each resident returned payment transaction that was received from the bank and sent to OneSite Leasing & Rents during the nightly batch logs an alert on the snapshot. The appropriate resident transactions are also added to the resident's ledger. At the property, the snapshot lists returned payment alerts only for residents of that property. At RealPage Central, you can view returned payment alerts for any property that you are assigned to.
    • Occupancy alerts from OneSite Leasing & Rents. You have the option to set alerts that appear in the snapshot when physical or leased occupancy percentages reach certain thresholds. You can set multiple percentage thresholds and receive alerts when the property crosses a threshold (up or down) and/or nears a threshold. Occupancy alerts are generated by OneSite automatically every night and will remain on the snapshot for the number of days you specify in setup. At the property, the snapshot lists occupancy alerts only for that property. At RealPage Central, you can view occupancy alerts for any property that you are assigned to.
    • Final account statement (FAS) approvals from OneSite Leasing & Rents. When an account is closed and a resident is due a refund, a FAS approval item is added to the snapshot. The home office will review the FAS and either approve or reject the refund amount. If rejected, the property must correct the FAS and resubmit it for approval. A refund will not be extracted to the corporate system for payment until the FAS is approved.
    • Pre-bill approvals from Velocity. One RealPage user can be specified to receive an alert when the property PreBill report is posted to the system. The RealPage user that receives the alert can approve the pre-bill on the Today page.
  • The Apartment Occupancy Snapshot: This snapshot displays apartment occupancy as of the property date. It has a list of all floor plans set up for the community. For each floor plan, you see the total number of apartments, the number of occupied apartments, and the apartment occupancy percentage. Listed next is the total number of apartments and occupied apartments for each service group. This snapshot is used for Community Management when the licensed capacity is entered in setup.
  • The Applicable Fraction Snapshot: This bar graph snapshot serves Tax Credit properties and other properties layered with Tax Credits. For each building in a selected program, you see at a glance if the property is meeting its compliance goals, is in danger of falling out of compliance, or is out of compliance and threatening a loss of tax credit eligibility. All buildings are graphed. For each building, a pair of bars compares the compliance goal to the percentage of currently qualified units.
  • The Appointments Snapshot: This snapshot shows all the appointments scheduled for today (the current calendar date) or for any selected date. You can link directly to complete, edit, or delete an appointment. You can also add new appointments here, and authorized users have the choice of viewing the appointments for all property personnel in addition to just their own appointments. This snapshot is available to users of the OneSite Leasing & Rents, Resident Portal Prospects, and the Leasing & Rents—Affordable product centers.
  • The Assessments Snapshot: The Assessments snapshot allows you to monitor the status of applicant and resident assessments by easily identifying actions that need to be taken. The Current residents as of mmddyyyy section shows the assessment status for current residents as of the system date. The Due section shows past due and upcoming assessments. The In progress section shows assessments that have been started but not finalized. If your property has implemented a review-and-approval step in your assessment workflow, it also includes a Pending review section showing finalized assessments that are awaiting approval. The Care fees pending acceptance section shows care fees that are awaiting approval. Each section provides counts of assessments in each category, with links that allow you to navigate directly to the assessment for further action. This snapshot is used for Community Management when licensed capacity is entered in setup.
  • The Availability Summary Snapshot: This is a snapshot of all currently available units listed by floor plan group. Units that are vacant, made ready, not made ready, and on notice are all listed. The snapshot also shows the percentage of units that are currently leased and the rent range for each floor plan group. A number of links are available. For example, you can view a list of the specific units in any status, and view the unit details for any specific unit. You can see the individual floor plans that make a floor plan group, and, if you have uploaded your Property Marketing Content Package, you can send floor plan brochures by email. You can also generate the Availability report from this page. This snapshot is available to users of the OneSite Leasing & Rents and the Leasing & Rents—Affordable product centers.
  • The Availability Summary Snapshot (for Commercial): This is a snapshot of all currently available suites. Suites that are vacant, made ready, not made ready, and on notice are all listed. The snapshot also shows the percentage of suites that are currently leased and the rent range. A number of links are available. For example, you can view a list of the specific suites in any status, and view the suite details for any specific suite. You can also generate the Availability report from this page. This snapshot is available to users of the OneSite Leasing & Rents—Commercial product center.
  • The Average Acuity Snapshot: The Average acuity snapshot calculates the average scores for each service group and corresponding assessment template for all finalized assessments generated for the property during a specific period. The snapshot allows you to select the assessment template you want to view (or all templates) and the time period you want to view. It then lists each of the service groups that has at least one finalized assessment with an effective date during the selected time period. For each service group, the snapshot shows the average acuity score in each of the sections included in the template. This snapshot is available to users of the OneSite Senior Living Care Management and OneSite Senior Living Community Management product centers.
  • The Building Compliance Snapshot: This snapshot serves Tax Credit properties and layered (combined HUD and Tax Credit) properties. The snapshot tracks compliance by building for non-LIHTC programs at the set-aside level.
  • The Call Recordings Snapshot: This snapshot allows Resident Portal users to listen to and manage calls recorded by the Resident Portal Contact Center within the past 120 days. All prospect calls managed by the contact center are recorded. Service requests and voice mail messages are recorded only if your property has contracted with Resident Portal to provide this service.
  • The Certifications Snapshot: This snapshot serves affordable (HUD, 50058, Rural Housing, and Tax Credit) properties, and also functions for layered properties (a combination of two or more affordable centers). Use this snapshot to manage certifications for the entire property. The snapshot links to the Certifications list box that gathers all Trial, Approved, and (in some cases) Final status certifications at the property. You can manage the certification process from this list (advance the certification process, edit, or delete the certifications), and jump to the Resident at a glance page for any listed household's certification.
  • The Critical Date Snapshot: This snapshot is used at Commercial properties to track critical tasks, lease options, and lease clauses for tenants. The snapshot serves as a tickler list for tracking items that must be completed within a specific time period. You add tasks at the Activity/Tasks tab of the Tenant at a glance page; you add options and clauses at the Lease details tab. If an item is flagged as critical, it will appear on the snapshot where you can track its notice dates and complete it in a timely manner.
  • The Resident Portal Online Leasing Activity Snapshot: This snapshot lists all prospects and applicants who began the online leasing process during the selected period of time. This snapshot identifies where in the process each prospect and applicant is, allowing you to easily find applicants that you need to follow up with. From the snapshot, you can open the person's Prospect at a Glance page to follow up with the prospect. You can also use the snapshot to print a report showing the same information.
  • The Compliance Tracking Snapshot: This snapshot serves Tax Credit properties and layered (combined HUD and Tax Credit) properties. The snapshot tracks compliance by floor plan or bedroom count for LIHTC and non-LIHTC set-asides. It also tracks the required property-wide minimum set-aside compliance percentage during the rent-up period and the entire qualified project period for Tax Credit sites with different types of financing, including tax exempt bonds.
  • The Resident Portal E-mails Snapshot: This snapshot allows property personnel to read prospect email messages answered by the Resident Portal Contact Center. The user can view both the incoming message and the outgoing (reply) message. At a glance, this snapshot shows when a message was received, whom it was from, when a reply was sent, and to whom the reply was sent.
  • The Document Storage Monitor Snapshot: This snapshot displays a pie chart that you can use to keep track of the space available for document storage. You can also see the amount of space currently used by uploaded documents, as well as the space remaining.
  • The Documents Awaiting Signatures Snapshot: This snapshot allows you to quickly view and sign documents that are awaiting signatures. After the document is signed, it is removed from this list.
  • The eSignature Snapshot: This Document Management snapshot allows you to monitor the documents that require eSignature signatures/initials/check boxes. This snapshot is especially helpful for you to search for packets containing documents that need resident signatures or that are ready to be countersigned.
  • The E-mail Notifications Snapshot: This snapshot shows you the Document Management automatic e-mail notifications that needs to be sent to residents advising them that there are documents awaiting their signatures. The events for which automatic e-mail notifications can be sent are move-in, renewal offer, and renewal lease.
  • The eMAR Data Snapshot: This snapshot is available to Senior Living properties. eMAR is an electronic Medication Administration Record (eMAR) vendor that provides a person’s medication information. All resident and medication data for this snapshot is received real-time from the eMAR. This snapshot presents sufficient data for a person doing an assessment to be able to make an accurate determination of the need for an assessment.
  • The External Guest Cards Snapshot: The Resident Portal New leads (or External Guest Card) snapshot allows Resident Portal users to view prospects that have been added to the prospects database from any external sources. This includes guest cards entered by the Contact Center agents and those entered by prospects themselves at your property web site, an Internet listing service, or through Resident Portal Online Leasing. These guest cards are also available at the Prospects page, but the snapshot shows only those guest cards that no one has followed up with. As a result, this snapshot provides a quick and easy way to locate new prospects that you need to contact.
  • The Feature Reservations Snapshot: This snapshot provides a view of all feature reservation requests that have been submitted by residents. Users can view reservations by status, approve or deny reservations, and enter new reservations. This snapshot is available to users of the Resident Portal.
  • The Financial Summary Snapshot: This small snapshot provides an overview of the current accounting period. The total amounts billed, collected, delinquent, and prepaid for the period are seen along with the total of all concessions given. This snapshot is available to users of the OneSite Leasing & Rents and the Leasing & Rents—Affordable product centers.
  • The Financial Summary Snapshot (for Commercial): This snapshot allows you to view A/R activity for the current period, including total billed, collected, delinquent, and prepaid. You can also generate the Commercial Delinquent and Prepaid report. This snapshot is available to users of the OneSite Leasing & Rents—Commercial product center.
  • The HUD Repayments Snapshot: This snapshot allows you to manage all the HUD repayment plans that are currently active at the property. The snapshot lists the household name, the plan's start date, the date of the most recent payment, and the total balance due. The balance amount is a link to the plan for that household.
  • The Incident Alerts Snapshot: The Incidents snapshot lets you monitor the status of incident reports entered in the system. Incidents can be selected by report status, notification status, and most reported in the past 12 months. An optional watch list section can also be added. Each section has the number of incidents for each status or incident type. You can select a number to open the Incidents report page and take further action on an incident.
  • The Income Targeting Snapshot: This bar graph snapshot shows you if a HUD property (or any affordable property layered with HUD) is meeting the income targeting goals. HUD's regulations require that a minimum of 40 percent of Section 8 units are rented to Extremely Low (less than 30 percent of the median) income households annually. The snapshot displays the property's compliance percentage in any quarter of the current year, or for the current fiscal year-to-date. Each bar represents the percentage of all Move-In (and Initial) Certifications for residents of each income level for the selected time period.
  • The Leasing Summary Snapshot: This is a snapshot of the totals of all prospect activity: new prospect contacts (categorized by phone, visit, e-mail, or Internet contact), reservations, applications, move-ins, and move-outs for the current day, week, and month. This snapshot is available to users of the OneSite Leasing & Rents and the Leasing & Rents—Affordable product centers.
  • The Leasing Summary Snapshot (for Commercial): This is a snapshot of the totals of all tenant activity: applications, move-ins, and move-outs for the current day, week, and month. This snapshot is available to users of the OneSite Leasing & Rents—Commercial product center.
  • The Legal Case Summary Snapshot: This snapshot lists current residents who have legal cases open. Use this snapshot to determine who to follow up with next and to log activities.
  • The Monthly Service Request Summary Snapshot: This snapshot displays for the selected month the total number of requests (service requests and make ready requests combined) in each status. Each count is a link to a filtered view of the requests listed on the Service requests tab. (Only the requests included in the count display.) The maintenance manager views the requests tallied in the snapshot arranged by priority level and can use links to access items quickly. This snapshot is available from all properties that use the OneSite Facilities product center.
  • The New Policy Enrollments Snapshot: This snapshot allows you to view new eRenterPlan insurance policies that have been added for your property. You can also map the new policies to the appropriate unit or resident. This list shows any new enrollments that have been created using eRenterPlan.com in the past 30 days. This snapshot is available to add to your custom dashboard if your property uses LeasingDesk Insurance Services.
  • The New Leads Snapshot: The Resident Portal New leads (or External Guest Card) snapshot allows Resident Portal users to view prospects that have been added to the prospects database from any external sources. This includes guest cards entered by the Contact Center agents and those entered by prospects themselves at your property web site, an Internet listing service, or through Resident Portal Online Leasing. These guest cards are also available at the Prospects page, but the snapshot shows only those guest cards that no one has followed up with. As a result, this snapshot provides a quick and easy way to locate new prospects that you need to contact.
  • The Next Available Unit Rule (NAUR) Snapshot: This snapshot serves Tax Credit properties and layered (combined HUD and Tax Credit) properties. The snapshot lists units currently occupied by households with incomes over 140 percent (or other applicable percentage) of the current qualifying income at annual recertification. These units will retain their low-income status, provided your property leases the next vacant units of the same or smaller size in the same building to qualified households. Use this snapshot to determine if there are any units that fall under this rule.
  • The Packets Leasing Summary Snapshot: This snapshot helps you manage the lease documents as applicants and residents move through the leasing process. This allows you to see the progress of people that apply in person, as well as online applicants. From this snapshot, you can track what packets still need attention, how many days are remaining until the packet is due, and more. Using the View link, you can open the packets directly from the snapshot.
  • The Packets Snapshot: The Packets snapshot allows you to see at a glance how many packets you have set up for your prospects, applicants, and residents and the status of each packet. The snapshot lists a packet status and then gives a count of how many packets are in that status. You control which statuses are displayed in the snapshot on the Packets snapshot – setup page. The status name and the number are both links. You can click either link to open the Manage packets box, which lists all of the packets in that status. From that list, you can select a specific packet to work with, or search for packets with a different status. After selecting and opening a packet, there are a number of options for you to manage the documents or forms inside. You can add a document, submit and approve packets, delete packets, or close packets.
  • The Pre-lease Snapshot: The Pre-lease snapshot provides an overview of pre-lease goals that have been configured for your property, the actual figures for your property during the same time period as the goal intervals, and the variance between the goal and actual information. This snapshot is available only for properties using Student Living.
  • The Property Compliance Snapshot: This bar graph snapshot serves Tax Credit properties and other affordable properties layered with Tax Credits. For each set-aside of a selected program, you see at a glance if the property is meeting its compliance goals, is in danger of falling out of compliance, or is out of compliance and threatening a loss of tax credit eligibility. All set-asides at the property are graphed. For each set-aside, a pair of bars compares the compliance goal to the percentage of currently qualified units.
  • The Purchasing Invoices Snapshot: This snapshot provides a quick overview of invoice activity and status for the property. For each period that has invoices that are in either Pending or Ready status, the snapshot shows you the number of Pending, Ready, and Transmitted invoices. When all invoices for a given period are transmitted, voided, or rejected, that period no longer appears in the snapshot. This snapshot is available only to users of the OneSite Purchasing product center.
  • The Purchasing Purchase Orders Snapshot: This snapshot provides a quick overview of purchase order activity and status for the property. For each period that has purchase orders that are in Pending, Open, or Open–Partial status, the snapshot shows you the number of purchase orders in each status. When all purchase orders for a given period are closed, voided, or rejected, that period no longer appears in the snapshot. This snapshot is available only to users of the OneSite Purchasing product center.
  • The Recertifications Snapshot: This snapshot serves affordable (HUD, 50058, Rural Housing, and Tax Credit) properties. The snapshot lets you manage household annual recertifications. Based on a household's next recertification date, the snapshot lists households whose financial and member information must be annually recertified in the next 30, 60, 90, and 120 days, and lists those whose recertifications are past due.
  • The Regional Availability Summary Snapshot: This is a snapshot of all currently available units for each property in the region. It lists your assigned properties in user management and shows the percentage of units that are leased and occupied at each site. You must have a Regional Property Manager or Superuser role to view this snapshot. This snapshot is available to users of the OneSite Leasing & Rents and the Leasing & Rents—Affordable product centers.
  • The Renewals Snapshot: This is a snapshot of the units that are due for lease renewal. Information for each expiring lease includes the resident's name and unit number, the lease end date, and whether a renewal offer has been made, an offer letter created, or first and second reminder notices have been sent. From here, you can select a resident to begin the renewal process or to complete the renewal process if it has already been started. This snapshot is available to users of the OneSite Leasing & Rents and the Leasing & Rents—Affordable product centers.
  • The Renewals Snapshot (for Commercial): This snapshot lists tenants due for lease renewal. Information for each expiring lease includes the tenant's name, suite number, and lease end date. At a glance, you can determine whether a renewal offer has been generated and whether any offer letters and reminder notices have been sent. From here, you can select a tenant to begin the renewal process or to complete the renewal process if it has already been started. This snapshot is available to users of the OneSite Leasing & Rents—Commercial product center.
  • The Rent Stabilized Renewals Snapshot: Use this snapshot to manage pending renewals at rent stabilized properties. Residents will appear on the snapshot when the Bulk lease renewal or Generate renewal offers process is completed, and the property date is a certain number of days before lease expiration, based on renewal settings. From the snapshot, you will be able to quickly view residents who have not renewed and generate reminder letters.
  • The Rentable Items Snapshot: Use this snapshot to view the property's rentable types and to determine the status of rentable items within each type. Use the links to drill down to lease details and view who has rented or given notice on an item. The snapshot calculates the gross leased percentage and other statistics for rentable types.
  • The Renters Insurance Snapshot: This snapshot allows you to track residents with canceled or due to be canceled renter's insurance. This snapshot is available only for properties that are using the full version of LeasingDesk Insurance Services. This snapshot is available to add to your custom dashboard if your property uses LeasingDesk Insurance Services.
  • The Resident Portal Users Snapshot: This snapshot provides a view of all residents who have applied for access to the secure portion of the Resident Portal. You can view applicants by status, approve or deny applicants, and enter new applicants. This snapshot is available to users of the Resident Portal.
  • The Resident Retention Snapshot: This snapshot tracks retention activities for move-ins and renewals. A resident appears on the snapshot a certain number of days after move-in or the renewal lease start date based on your retention settings in property setup. Up to 10 contacts can be scheduled for move-ins and renewals. When you complete a retention activity, OneSite removes the resident from the snapshot and logs a "Retention" activity to the resident's activity journal. The resident will not appear on the snapshot again until the number of days passes for the next contact. You can also complete retention activities for transfers. This feature is controlled by an option that you select on the snapshot.
  • The Screening Adverse Action Letter Status Snapshot: This snapshot shows any Adverse Action letters that were not automatically sent to the applicant by e-mail or printed to give to the applicant. This allows you to monitor the status of the Adverse Action letter for each applicant or group of applicants.
  • The Screening Applicants Snapshot: This snapshot allows you to view screening applicants in three statuses: Drafts, Pending, and Recent applications. Links allow you to View the screening application or to see a list of More options. This snapshot is available only if you are also using Screening or another applicant screening product.
  • The Screening OON Criminal Snapshot: This snapshot allows you to view out of network (OON) applications from the Today page. This allows you to track and search for pending OON applicants. By default, applications without a decision appear in this snapshot for the number of days that you specify in setup. After that number of days has passed, the pending application is archived and will not appear in the default view. In this case, you can use one of the Find options to locate the application.
  • The Sister Site Transfers/Waitlists Snapshot: This snapshot lists new prospects that were waitlisted or transferred to your property from another sister site. Use this snapshot to manage these prospects.
  • The SSN Exception Snapshot: The SSN Exception snapshot allows you to easily find residents that have been added to a household without a Social Security Number (SSN), and that have a HUD SSN exception code. The purpose of this snapshot is to help you manage household members that need to have their SSN updated.
  • The Stipulation Payment Summary Snapshot: This snapshot lists current residents who have legal cases open. Use this snapshot when a resident agrees to make payments on a delinquent balance. You will enter the agreement terms, calculate the monthly payments, and record payments for the resident.
  • The Student Leasing Activity Snapshot: This snapshot is very similar to the Online Leasing Activity snapshot, except that the steps in the process reflect the online process at a Student Living property instead of a conventional property.
  • The Task Administration Snapshot: The Task administration snapshot lets you view the actions taken for specific tasks. It also lets you update incomplete tasks and tasks with exceptions. This snapshot is used in conjunction with the Task completion snapshot. As tasks are updated in the completion snapshot, the administration snapshot is then used to review the task updates.
  • The Task Completion Snapshot: The Task completion snapshot lets you mark a resident task as completed or indicate why the task cannot be completed. This snapshot lets you document the completion of these tasks as they are performed. The Resident list for staff table has a list of all staff members and shifts for the community as of the current date and time. Use the Refresh button to reset the date and time and refresh the resident list.
  • The Tasks Snapshot: This is a snapshot of a number of different kinds of tasks that need to be addressed: move-ins, move-outs, final account statements, transfers, appointments, follow-ups, and so on. If you are using Online Leasing, applications entered through Resident Portal also appear here. You can choose to view only a certain type of task. New tasks can be added from here. Links allow you to complete the various tasks. This snapshot is available to users of the OneSite Leasing & Rents, OneSite Leasing & Rents—Affordable, and Resident Portal Prospects product centers.
  • The Tasks Snapshot (for Commercial): This is a snapshot of a number of different kinds of tasks that need to be addressed: move-ins, move-outs, and final account statements. You can choose to view only a certain type of task. Links allow you to complete the various tasks. This snapshot is available to users of the OneSite Leasing & Rents—Commercial product center.
  • The Task Summary Snapshot: The small version of the Tasks snapshot lists the total numbers of follow-ups, appointments, move-ins and move-outs, any pending final statements on schedule for the current day, and transfers. If you are using Resident Portal Online Leasing, applications entered through Resident Portal also appear here. You can view tasks for a different day and you have the option to view tasks assigned only to you or to see all tasks. This snapshot is available to users of the OneSite Leasing & Rents, OneSite Leasing & Rents—Affordable, and Resident Portal Prospects product centers.
  • The Task Summary Snapshot (for Commercial): The small version of the Tasks snapshot lists the total numbers of move-ins and move-outs, and any pending final statements on schedule for the current day and previous days. You can view tasks for a different day and you have the option to view tasks assigned only to you or to see all tasks. This snapshot is available to users of the OneSite Leasing & Rents—Commercial product center.
  • The Technician Daily Schedule Snapshot: This snapshot lists the number of service requests and make ready requests scheduled for work by a specific technician on the selected date. Each count is a link to a filtered view of the requests listed on the Service requests tab. (Only the requests included in the count display.) The maintenance manager views the daily work schedule sorted by scheduled times and can use links to access requests quickly. The snapshot is available for properties using the OneSite Facilities product center.
  • The Temporary Absence Snapshot: The Temporary Absence snapshot shows the number of current residents absent from the community. It also shows the number of residents who have returned from an absence with care fees that have not been started yet. It displays the total number of residents absent, the total number of residents absent with care fees charged, the total number of residents absent with care fees stopped, and the number of residents that have returned from an absence with care fees stopped. This snapshot is available for communities using the Care Management and Community Management product centers.
  • The Text Messages Snapshot: This snapshot lists applicants, residents, and non-residents with texting history in OneSite.
  • The Unit Vacancy Rule (UVR) Snapshot: This snapshot serves Tax Credit properties and layered (combined HUD and Tax Credit) properties. The snapshot lists vacant units formerly occupied by low-income households that are still counted as qualified units. Use this snapshot to determine the units that you need to lease next. You should fill the unit with a household that qualifies under the same set-aside(s) as the previous resident.
  • The Vacant Not Ready Snapshot: This is a snapshot of the units that are currently vacant and not ready. A make ready is a service request for preparing a unit for a new occupant. This snapshot shows the unit number and floor plan, the number of days vacant, and the lease begin date for units that are vacant and leased. The Complete link allows you to add a made ready date and comments. This snapshot is available to users of the OneSite Leasing & Rents and the Leasing & Rents—Affordable product centers.
  • The Vacant Not Ready Snapshot (for Commercial): This is a snapshot of the suites that are currently vacant but not ready. This snapshot shows the suite number, floor plan, and the number of days vacant. For vacant and not ready suites that are already leased, it shows the lease begin date. The Complete link allows you to add a made ready date and comments. This snapshot is available to users of the OneSite Leasing & Rents—Commercial product center.
  • The Verification Letters Snapshot: This snapshot serves affordable (HUD, 50058, Rural Housing, and Tax Credit) properties, and layered (those with combinations of two or more affordable centers) properties. The Verification letters snapshot lets you easily manage verification letters for all applicants and residents. It sorts letters by processing status (Needed, Generating, Ready to print, etc.) and shows the number of verification letters with each status. The snapshot links to the View letters list, where you can process groups of letters that share the same status.
  • The Waitlist Snapshot: This snapshot allows you to manage your property's waitlist. In setup, you define the number of days before and after a requested move-in date to consider units as matches for waitlisted applicants. Each unit that becomes vacant this many days before or after the move-in date that matches the applicant's preferences is considered a match, and OneSite adds the unit to the waitlist matches list. From the snapshot, you can notify the applicant that a unit match exists, generate the quote, and select the unit to move the applicant off of the waitlist. A matched unit can be leased to any prospect, resident, or non-waitlisted applicant, but you should review the waitlist matches list first, and preferably assign non-matched units to people that are not waitlisted. This allows you to save unit matches for your waitlisted applicants.
  • Zero Income Households Snapshot: This snapshot lists all affordable (HUD) households whose most recent certification reported no income. This may help you keep track of the zero-income households at the property. When recertification time approaches, you can give them the scrutiny they require. On the snapshot list, you'll see the unit number, name of the head of household, the effective date of the household's most recent certification, and the number of days that have passed between the last recertification date and the current property date. For those zero-income households that are in the process of recertification, the last two columns list the status and the effective date of the new recertification. Data in these last two columns appears only if a new certification has been generated and has Trial or Approved status.

There are also two custom snapshots that may be used:

  • The Custom Page Snapshot: This snapshot is a mini web browser that can be set to a specific web page. You may want to always see your company web site home page. The default web page address (URL) can be changed when necessary. This snapshot is available to users of any RealPage product center.
  • The Custom Auth Page Snapshot: This snapshot functions the same as the Custom page snapshot, but has a special purpose. It is intended only for use with properties that have access to a secure web page, such as an integrated third-party utility billing function. As the Today page opens, the system verifies that the user has access to the secure web page. This snapshot is available to users of any RealPage product center.
