Reports, SDE, and Tasks at the Property

The system allows you to run reports, run data extracts, and submit tasks for processing directly from these pages. The reports, extracts, and tasks that are available to you are based on the RealPage product centers that the property is using. These three types of jobs are organized on separate tabs for your convenience.

The system also allows you to create groups. A group is one or more reports, data extracts, or tasks that are scheduled to be run on a predetermined schedule. You can combine reports, extracts, and tasks into the same group, so the groups that you define here are available on all three of the scheduling tabs.

When working at a specific property, you can run, schedule, and review reports and tasks for that property. All users can run and review reports and tasks, but only authorized users can create and manage groups. You will only see reports and tasks for the RealPage product centers used by this property.

If your property does not use OneSite Site Data Exchange (SDE), this information is available on the Reports & Tasks page and has only the Reports and Tasks tabs. If your property uses OneSite Site Data Exchange, the page is called Reports, SDE, and Tasks. Authorized users also have the SDE tab, which lists options for SDE extracts and imports. Which extracts and imports are available to you depends on the RealPage product centers, extracts, and data adapters you are using.

The Reports, SDE, and Tasks page allows you to run reports, extracts, and tasks for all RealPage product centers from the same location. From the Reports tab, you can run any report individually. From the Tasks tab, you can run any task individually. If you are using OneSite Site Data Exchange (SDE), you run your data extracts from the SDE tab. From any of the tabs, you can set up an automated schedule to run one or more reports, extracts, or tasks at specific times.

On each tab, the left side of the page lists each RealPage product center used by this property. Within each center, the reports, extracts, or tasks available in that center are categorized. The categories under the Groups and Home Office groups sections appear at the bottom of the list. If you are authorized to set up scheduling groups, use the categories under Groups to define your automatic report, extract, or task schedule and assign the reports, extracts, or tasks that should be run as part of each group. (Home Office groups are set up at RealPage Central. They are visible at the property level, but can't be modified here.)

Clicking any category on the left side of the page opens the list of reports, extracts, or tasks in the selected category. From here you can run the report, extract, or task and review the most recently run version of the report, extract, or task.

Clicking any group on the left side of the page opens the list of reports, extracts, or tasks that are assigned to that group. From here you can manage the group and review previously run versions of the report, extract, or task.

Note that there are two types of reports: standard and non-standard. Standard RealPage reports can be assigned to scheduled groups and allow you to view and print the report in a variety of formats, such as a PDF document, a Word RTF file, or an Excel file. Non-standard reports cannot be assigned to scheduled groups and only allow you to view and print the report.

Working with Reports, Extracts, and Tasks

Each of the ReportsSDE, and Tasks tabs provides an Action column, the name of the report, extract, or task, and information about the last time that report, extract, or task was run. The actions that appear here vary depending on your RealPage role. All RealPage users can generate, view, and save reports or tasks. All RealPage users can view and download completed reports in a property-level or Home Office group. Only authorized users can create and manage scheduled groups or SDE extract groups. Refer to Report, SDE, and Tasks Roles & Rights for more information.

  • Generate: Click this link to run the report, extract, or task.
  • Upload: For SDE jobs that import data into OneSite (instead of extracting data out of OneSite), click this link to import the data.
  • More: Click this link to perform additional tasks with the report, extract, or task. More options are only available for Site Data Exchange extracts and standard RealPage reports.
    • Add to group: Use this option to add this report, extract, or task to a scheduled group. Only authorized users can add reports, extracts, or tasks to groups.
    • View scheduled: Use this option to view the current schedule of when this report, extract, or task will be run. Clicking this link displays the list of scheduled groups the report, extract, or task is assigned to as well as any reports, extracts, or tasks scheduled by a user to generate later.
    • View completed: Use this option to see the list of all previously run versions of the report or extract that are still available. Clicking this link displays a list of each of the reports or extract files, which you can review or print as needed. This list includes reports, extracts, or tasks generated by any scheduled group or by any user.
  • Name: This is the name of the report, extract, or task. Clicking the report, extract, or task name displays a brief description of the report, extract, or task.
  • Most recent: This column indicates the last time the report, extract, or task was run, either by an individual or as part of a scheduled group. The system adds a link with the date and time of the last run, along with the user ID of the person who ran the report, extract, or task. Clicking the link actually opens the report, extract, or task file.

Working with Scheduled Groups

The New group link allows you to define groups of reports, data extracts, or tasks that are routinely run at the same time. You can schedule these groups to run based on standard system events. For example, you can schedule a group to run based on system date or on property date, and for property date, you can further specify calendar month-end or fiscal period month-end.

This functionality allows you to define your reporting, extract, and task management needs and know that all of your standard reports, extracts, and tasks will be automatically run at the proper time. No one has to remember which reports, extracts, or tasks need to be run or when they need to be run. Groups of reports, extracts, or tasks can be run overnight, when all daily activity is complete. When the system processes the reports, extracts, or tasks, it saves then online where anyone who needs to can review or print them. This eliminates the need to make and distribute multiple copies of a report for review. If you are using the Document Management product center at the property, you can also set up the report group so that the completed reports are automatically filed in the Property cabinet each time the group is run, eliminating the need to manually file paper or electronic versions of the reports.

When you select a group (Home Office or property-level) to work with, the system opens two lists. One list shows the items currently assigned to the group, and the other list shows previous group instances.

The first list shows each report, extract, or task assigned to the group. This list includes an Action column, the report, extract, or task name, and information about the last time that report, extract, or task was run.

The actions that appear here vary depending on your RealPage role. All RealPage users can view the list and the most recent version of the report, extract, or task for either a Home Office group or a property-level group. Only authorized users can create a scheduled property-level group, add a report, extract, or task to a group, or manage the scheduled groups. Home Office groups can only be created or modified at RealPage Central. Refer to Reports, SDE, and Tasks Roles & Rights for more information.

  • Edit parameters: Click this link to review or modify the parameters that define how this report, extract, or task is run when generated as part of the selected group. For Home Office groups, this link is called Parameters and only allows you to review (not modify) the parameters.
  • More: Click this link to perform additional tasks with the report, extract, or task.
    • Remove from group: Use this option to delete the report, extract, or task from the currently selected property-level group.
    • View scheduled: Use this option to view the details about the next scheduled property-level job for this report, extract, or task.
    • View completed: Use this option to see the list of previously run versions of the report, extract, or task that were generated as part of this scheduled group. Clicking this link displays a list of each of the reports, extracts, or tasks, which you can review, save, print, or download as needed. If you are using Document Management at this property, you can also file any completed report in the Property cabinet from here. This is the only More action available for Home Office groups at the property level.
  • Name: This is the name of the report, extract, or task. Clicking this link displays a brief description of the report or task.
  • Most recent: This column indicates the last time the report, extract, or task was run as part of this group. The system adds a link with the date and time of the last run, along with the user ID of the person who ran the report, extract, or task. Resting your mouse pointer on this link displays the parameter values used to run the report, extract, or task. Clicking the link opens the report, extract, or task file.

Previous Group Instances

Below the list of reports, extracts, or tasks in the group, the system lists the previous group instances. This is a list of each job that has been submitted for this group, either automatically by the scheduler or on demand. That is, the first list shows each report, extract, or task that is in the group; the second list shows each time the group has run. If the first list has no items, the system created the group when a letter was generated through a bulk letter process. The group is named for the letter and contains previous group instances only.

For each job, the Previous group instances list shows the Date basis and Run on date for that group and the actual date and time when the job was run. Clicking this link opens a list of the individual reports, extracts, tasks, or letters in the group job. The # of reports column also shows the number of reports, extracts, tasks, or letters included. You can download a ZIP file of the group instance using the Download link in the Action column.

Group Management

If the first list shows a report, extract, or task assigned to the group, you can copy the group to other properties. Click the drop-down arrow beside the Group management field and select Copy group.
